ClassPass bookings
When a customer buys a visit on ClassPass, enter the seat on the session's attendance roster and mark it as a ClassPass booking. ClassPass has already been paid and has already confirmed the visit with the customer, so the booking charges nothing here and the studio sends no confirmation of its own.
Enter a ClassPass booking
On the session's attendance roster:
- Open the menu beside Add booking and choose Add ClassPass booking.
- Pick the customer, or create them if they are new.
The booking is confirmed straight away. Credit packs and memberships the customer holds are not used. If the session is full, you are asked to confirm the overbooking first. The menu is not offered while the roster shows the Waitlisted tab, because a ClassPass booking always holds a seat.
You can also book from a customer's profile (Book class) or a session's page (Book customer): tick ClassPass booking before confirming. The funding choice is hidden while it is ticked.
The row shows a ClassPass badge. Bookings imported from another system as ClassPass show the same badge.
Change the mark later
Use the row's menu:
- Mark as ClassPass appears on a confirmed or checked-in booking that nothing paid for: no credits, membership, guest pass or payment. It is not offered on a private session booking, because ClassPass sells a seat in a class, not the whole session.
- Remove ClassPass mark turns the booking back into an ordinary complimentary one.
Bookings imported from another system keep the mark they arrived with, so neither option appears on them.
Marking a booking later sends nothing to the customer. A ClassPass booking cannot be moved to the waitlist. Every change of mark is recorded in the audit log with the old and new value.
Cancel or change a ClassPass booking
The booking here is a record of a visit sold on ClassPass, and changes here do not reach ClassPass. When you cancel, move or remove a ClassPass booking on the roster, make the same change on ClassPass too, or the customer may lose the visit or be charged a late cancellation fee there.
Customers cannot cancel or reschedule a ClassPass booking from their account. Their account explains that they cancel on ClassPass or contact the studio.
What the customer receives
- No confirmation email from the studio when the booking is made.
- No cancellation email from the studio when staff cancel it.
- A waiver request email when the booking is made, if the customer has not signed an active waiver. It is the same email Send Waiver sends from the roster, and links to their account so they can sign before the visit.
The waiver email follows the same rules as Send Waiver, so it is not sent to a customer who has opted out of email, whose address is refused, or who has had too many waiver emails recently. The booking is still made, and a warning says why the email did not go out so you can follow up. When Email notifications are turned off for the studio, the waiver email is not sent with the booking either. Send Waiver on the roster still sends it when you choose to.
The same rules apply to ClassPass bookings imported from another system: cancelling one sends the customer nothing.
Staff notifications are unchanged: the desk is still told about the booking, its cancellation, and a customer who still owes a waiver. Other customer emails, such as a change made by staff or a request for feedback after the visit, follow your email automations as for any booking.
Reports
The Source column of the All Bookings report reads ClassPass for bookings entered by staff, and ClassPass (imported) for ones imported from another system. In the CSV export, the origin column reads classpass for both, and the importedOrigin column is filled only for imported bookings.
