Point of Sale

The Point of Sale (POS) screen lets you sell memberships and products to walk-in customers. The left side is a catalog; the right side is the cart.

  • Sidebar path: Sales → Point of Sale.
  • Permission: opening Point of Sale requires payments:read.

The catalog

The catalog is organized into tabs: a Memberships tab plus one tab per product category.

  • Memberships lists your active plans (labelled Visit Pack, Monthly, or Yearly) with their credit amount. If a plan can't be added you'll see a tooltip explaining why, such as Customer is already on "{plan}". If there are no plans yet you'll see No active membership plans. Create plans in the Memberships page first.
  • Product tabs let you search (Search products...) and add items to the cart.

Common tasks

Ring up a sale

  1. Choose a customer: in the cart, select Choose Customer and pick someone from the list. A customer is required before you can sell a membership.
  2. If you run more than one location, pick the Sale Location (defaults to Default location).
  3. Add items from the catalog. Products can have their quantity increased or decreased; memberships appear as a single line.
  4. Review Subtotal, Tax (if any), and Total.
  5. Choose a Payment Method:
    • Card reader: send the total to an available reader on your connected Stripe or Square account and wait for the customer to tap, insert, or swipe. This currently supports product sales; use Card on file or External card for memberships.
    • External card: record a card payment already taken on hardware Elara doesn't control.
    • Card on file: charge a card the customer has saved, in-app, through your Stripe or Square connection. See POS card processing.
    • Gift Card: redeem a gift card, on its own or split with card/cash.
    • Cash.
  6. Select Charge {total}. While it processes the button shows Processing… (or Charging card… for a card on file, or Sending to reader… for a connected reader), and a Sale Complete screen confirms it before the cart clears.

If a connected-reader response is lost, the saved checkout reopens after a reload and resends the same request instead of starting another charge, so the customer is never charged twice. Each unresolved sale is tracked on its own, so a second POS tab cannot overwrite it. When Square reports a timeout that might still complete, choose Leave pending sale to take unrelated payments. Keep the unresolved-sale warning visible and do not re-ring that transaction; select Resume to return to it.

Switch or remove the customer

Use the switch icon next to the chosen customer to pick a different one. The cart keeps your items.

Clear the cart

Select Clear Cart to start over.

Tips

  • You can't mix currencies in one cart, if you try, you'll see Mixed-currency cart not supported, naming the items that are priced differently. Everything you create now is priced in your brand currency, so this only comes up for older items left in another one. Re-save the product, or replace the plan, to clear it.
  • Selling a membership always needs a customer attached; a product-only sale does not.
  • Plans and products shown here come from Memberships and Products: create them there first.
