Sessions
The Sessions page lets you manage recurring and one-off sessions: the offerings behind everything customers book.
Getting there
- Sidebar path: Operations → Sessions.
- Permission: the
classesresource. The same entry also appears for a role holding onlyreservations, which takes them to Attendance instead.

The sessions table
The table lists each session with Session (and its colour), Type, Category, Location, Instructor, Level, Capacity, and Status (Published, Draft, or Archived). Use Filters to narrow by location, instructor, or status, and to Show archived. An empty list shows No sessions found. Create your first session to get started.
Select a session name to open its details. If you can update sessions, use the colour control or the pencil beside the name for quick edits without opening the full form.

Press Shift+V to toggle the Filters panel.
The session page
The session page shows the name, status, and description, followed by a Session details card with Location, Instructor, Duration, and Capacity. Select the name to rename it inline, select the colour to update it, or use Edit session for the full form. Staff with reservation creation access also see Book customer beside Edit session. Choose an active customer, then choose one of this session's scheduled times and confirm the booking. Full scheduled times require a separate Overbook session confirmation.
The Schedule section shows scheduled times as a list or monthly calendar. Use the month controls to review past or future dates. Select a scheduled time to open its attendance roster. Attendance links appear only for roles holding the reservations:read permission.
Creating a booking requires customers:read and reservations:create access for this session.
Published sessions also provide an Add to calendar button and an adjacent copy-link icon button. The copied HTTPS URL can be pasted into a calendar app that does not open calendar subscription links.
Common tasks
Book a customer
Open the session, select Book customer, then search for and select the customer. Choose the scheduled time they will attend and confirm. Cancelled scheduled times, private bookings, and sessions outside your reservation scope are not offered. A full scheduled time shows its booked and capacity counts before you can overbook it.
Add a session
Select Add session to open the session form. The main fields:
- Name, Type (Recurring, One-off, or Event), and Category (Sauna, Yoga, Pilates, Wellness, Meditation, or Recovery).
- Description, Image URL, Start Date, optional End Date, Duration (min), and Capacity.
- Level (All Levels, Beginner, Intermediate, Advanced), Color, Facility (the location), and Instructor.
- Status: Draft, Published, or Archived.
Select Create to save (or Save Changes when editing).
Set pricing and credit cost
- Credit Cost: the credits deducted from a customer's visit pack when they book. Standard is 1.00, and you can use fractional values like
0.5or1.25. - Drop-in Price (USD): a per-seat price for walk-ups and friends who don't have a covering membership or guest pass. Leave it blank to keep the session members-only.
Enable private booking
Turn on Enable Private Booking to let a customer reserve the whole space for a scheduled instance when no other bookings exist. Choose one flat whole-space cost:
- Private Booking Price charges money.
- Private Booking Credit Cost deducts credits from the customer's eligible visit pack.
Use Private booking only when the session must not accept public bookings. Customers can add attendees up to the lower of the class size and facility capacity. See Booking settings.
Add schedules to a session
When editing an existing session, a Schedules section lets you add the recurring rules that put the session on the calendar. You can also add scheduled times directly from Schedules.
Delete a session
Select the delete icon and confirm. The dialog previews dependent records that will also be removed (a cascade delete).
Tips
- A session stays hidden from customers until its Status is Published.
- Type distinguishes a Recurring session from a One-off session. Event is a one-off that the online booking widget merchandises under its own Events tab, so pick it when the session is something customers should find as an event rather than as another class on the timetable.
