Waivers & intake

Waivers and intake fields help staff collect required information before attendance.

What to configure

  • Required profile fields in Customer settings.
  • Waiver content and requirements in Waivers.
  • Booking rules that decide when customers must complete intake before reserving.

Where customers see intake

During account creation, the widget shows the complete current text or PDF for every active waiver. The customer accepts each version separately from privacy and communication consent. The account retains the versions reviewed during signup, but these are not final signatures. After verifying their identity, customers explicitly sign outstanding waivers before booking. They type their full name and check the signature box, which signs the waiver electronically with that name and works from a keyboard or screen reader. When the studio offers it, they can also draw their signature with a finger, stylus, or mouse, but drawing is never required. The signing date and time are recorded automatically. If a waiver changes before submission, the replacement document must be reviewed and accepted again.

Staff review and in-person acceptance

Staff can use Customer profiles to confirm current waiver status. The profile's Waivers card shows each active waiver as Signed, Needs re-acceptance (the customer signed an earlier version, with the version and date they accepted) or Not signed. Attendance pages flag customers who still owe a waiver and block check-in.

Select Sign Waiver in Person to hand the device to the customer. The flow shows every outstanding text or PDF document and requires explicit acceptance of each one. A PDF must finish loading before its acceptance control becomes available; a failed document load keeps the flow blocked and can be retried. Cancelling or closing the flow records nothing and leaves the check-in block visible. Customers type their full name and check the signature box, which names them and the waiver version they accept. Where the studio offers drawing, they can also draw a signature; Clear signature removes the drawing without affecting the checkbox signature. A successful acceptance records the typed name, whether it was signed with the checkbox alone or with a drawing too, the current version, date and time, in-person method, and witnessing admin.

Use the signature view in Waivers to search historical acceptances and open the exact retained document version.

Best practices

  • Keep required fields limited to information staff actually use.
  • Review waiver text before launch and after policy changes.
  • Test intake on a phone before publishing the booking page.
