Audit log
The Audit log lists the changes made in your studio's dashboard, newest first: who booked a customer in, who changed a session's capacity, who edited a membership plan, and so on. Use it to answer "who did this, and when?" after the fact.
Getting there
- Sidebar path: Staff → Audit log.
- Permission:
audit-log:read. Only the Owner role has it by default. To let a manager use it, add an Audit log rule to their role under Staff → Access roles (see Staff and access roles). It is offered at Read only and applies to the entire studio.
What a delegated role sees
A role with Audit log sees only the changes in areas it can already open across the entire studio, with the same access those pages need. A manager with Reservations sees booking changes, but not changes to payments unless the role can also read Payments. Some changes need the access of the page or action they come from:
- work done in Needs attention needs Payments at Write
- time-off requests and shift claims need Shifts at Write
- payroll period approvals need Payroll at Read
- changes to a customer's own record (adding, editing, archiving or deleting them, signing them out, resetting their calendar feed link, and asking them to confirm a new email address or withdrawing that request) need Customers at Write, the access needed to make them. Older kinds of change to a customer's record show to the Owner role only. Notes and tags need Customers at Read.
- logging in as a customer needs Log in as customer
- sending a customer a sign-in link or setting their email address outright needs Customer account recovery, and merging duplicate customers needs that and Customers at Write
- repairing a customer's card payment profile needs Payments and Customers at Write
- card reader changes need Studio settings at Read
Customer names show only with Customers at Read, session names only with Sessions at Read, and the email address of a staff member with no name on their account only with Staff access at Read. The Staff member filter lists only people with changes the role can see.
Changes to billing, payment accounts and location ownership show to the Owner role only, as do changes to a staff member's own saved filters and notification preferences, and older entries the log cannot file under an area.
Reading an entry
Each entry says what changed, who made the change and when.
- Bookings made by staff show how full the session was after the booking, for example "15 of 14 seats taken". A booking that took the session past its capacity is marked Overbooked. Staff can still book past a full session at the desk; the log records that it happened. Approving or promoting one booking of a group moves the whole group, and the entry says how many bookings it moved.
- Capacity changes show the old and new capacity. A change on one date of a session says "for this date". A change on the session itself applies to every date that has no capacity of its own.
Names and session dates show each booking, session or customer as it is now. A booking that was moved later shows its new session, even on older entries.
Times show in the time zone of the session's location when the entry is about a session, and in your studio's time zone otherwise. When that zone is not your own, the entry names it. Entries recorded before the log showed seat counts or capacity changes appear without those details.
Filtering
- Staff member: changes by one person.
- Area: Bookings, Sessions, Customers, Memberships, Sales, Staff, Communications, Settings, Migration, and for the Owner role, Other.
- From and To: dates in your studio's time zone, both included.
The log loads 50 entries at a time. Choose Load more at the end of the list for older ones. Entries are kept for a year.
